Office moving – service levels

When planning an office move, think about the level of service you expect. The more you and your colleagues do yourselves, the cheaper the move will be. You can choose from three service levels:

  • Full-service move
  • Standard move
  • Budget move

Full-service office moving

This is an office move that requires no physical work from the ordering party. In this option, our staff—according to an agreed plan—will:

  • Empty documents and items from cabinets, shelves, desks and other furniture, pack them into boxes, properly protect and label them,
  • Protect and label furniture and other equipment so everything goes to the correct place,
  • Disassemble and reassemble furniture if needed,
  • Properly secure equipment (computers, monitors, printers, phones and more),
  • Prepare corridors, elevators, passages and exits (door pads, protecting walls and elevators),
  • Move your property to the new location and place it according to the plan,
  • Install boards, pictures and other items in the target place,
  • Clean up leftover packing materials after the move.

All materials needed for a full-service office move (boxes, bubble wrap, stretch film, tapes, bags) are included in the price. MOVING PRICE LIST.


Standard office moving

This option is most often chosen by our clients. Employees of your company take responsibility for:

  • packing documents and other small items into boxes,
  • properly securing computer equipment,
  • optionally disassembling and reassembling furniture,
  • protecting elevators and corridors.

In this option, our company guarantees:

  • furniture disassembly and reassembly,
  • protecting furniture with stretch film and moving blankets,
  • carrying items out of the office,
  • transport and carrying items into the new location,
  • placing furniture in designated areas,
  • free delivery of boxes and other necessary protective materials.

Unlike the full-service move, additional protective materials such as boxes, bubble wrap, tapes, packing paper, bags and others are not included in the standard option. Of course, you can buy them before the move in our online store pakolandia.pl

A standard office move is a complex process that is worth preparing for. That’s why it is crucial that office staff label the boxes with their contents. This is time-consuming, but the effect is that each box reaches its intended place and packed items can be identified quickly.

A standard office move is also a great time for sorting and getting rid of unnecessary items. Separate and label items for disposal and let us know—we can help by arranging a suitably large container. Just be careful not to throw away important documents.


Budget / economical office moving

In this option, our responsibilities include carrying items out of the office, loading, transport, and unloading to the designated place. Due to the budget nature of the move, all packing and protection of property is handled by the ordering party. Office relocation (in-building)

Not every office move involves transporting items. We also offer office relocation—moving workstations and carrying furniture and equipment within the same building (e.g., between floors, departments or rooms) according to the building’s schedule and an agreed plan. Key factors in these projects include logistics, protecting communication routes (corridors, elevators, walls), labeling, and efficient furniture disassembly and assembly. When planning a move, take time into account and determine:

Moving date

This is important—if you need a specific date, don’t wait until the last minute. The earlier you tell us the days you want to schedule the service, the better we can fit your timeline. Also, if you book 3 weeks in advance, you can receive a discount of up to -10%.

Move duration

This makes organization easier. If the move is planned for several days, it’s worth dividing it into stages, e.g., by departments or rooms. This way you have a better overview, and employees know when it’s time to move a particular department. It also helps our team prepare.

Move hours

These can surprise the client at the last minute, so ask building management in advance when and during which hours moving is allowed. Sometimes, to avoid disrupting office operations, all work must be done after business hours (in the evening or at night). When the building is empty, moving around is easier and waiting time for elevators is shorter—this affects the total moving time.

Office moving – strategic elements

Office moves have recurring strategic elements that can change the entire course of the relocation. Lack of clarity can create unnecessary nerves and stress. To avoid misunderstandings, follow these steps:

  • Appoint a decision-maker,
  • Check which furniture requires disassembly and reassembly,
  • Get information about access and entrance to the building during the move,
  • Check availability of the freight elevator and rules for using it.

Appoint a decision-maker

A key step is appointing a decision-maker on both sides—the client and the service provider. This ensures all instructions given during the move are executed in a controlled way.

Office moving also includes furniture assembly and disassembly

A frequent element in the moving process is disassembly and reassembly of furniture and office equipment, so it’s important that the crew has the necessary tools. During office moves these are most often: corner desks, office cubicles, tall filing cabinets, connected shelving units for documents, archive racks, conference tables, all kinds of wall cabinets, shelves, boards, projectors, and clocks. These tasks are time-consuming and labor-intensive.

Get information about vehicle access and the entrance used during the move

Office moves—especially in new office buildings—are often subject to strict rules. Find out which entrance can be used, and check where the nearest parking space for the moving vehicle is located. It’s also important to inform building management in advance about the move, because security may stop the move until payment for booking the elevator/loading bay is confirmed. Good practice is to request a parking space as close as possible to the entrance used for the move.

Check availability of the freight elevator and rules for using it

When planning a move, ask about elevator availability. In particular, find out the hours when you can use the elevator and whether there is a freight/service elevator for deliveries. A freight elevator is often at the back of the building, so it doesn’t interfere with clients and office staff.

Also find out how access control works (card/chip). Usually there are guest cards available, but sometimes you need to use employee cards. If possible, arrange a key that allows you to block the elevator doors.

If you have heavy equipment such as a safe, find out its weight, because not every elevator has a sufficient load capacity and it must not be exceeded for safety reasons.
